What is confirmed—and what to check later
The organizer has announced July 19–21, 2027 at Rosen Centre in Orlando. Its 2026 recap says registration will open in February 2027. Confirm the 2027 agenda, exhibitor list, registration prices and hotel-block terms directly before making nonrefundable plans. Some event pages still show the previous year's program.
This is a planning guide for owners considering the convention. It does not claim that a particular software vendor will exhibit in 2027.
1. Choose the result you want from the trip
Write down your three biggest operational problems: perhaps slow intake, hard-to-find inventory or reports that need manual reconciliation. Set a realistic goal for each meeting. A useful outcome might be a scheduled full demo, a written conversion scope or confirmation that existing hardware can stay.
Review our software directory and comparison tool, then check the official exhibitor list when it is released. Arrange appointments with your shortlist and leave room between them for notes.
2. Give every software vendor the same shop day
Use fictional customer and item details. Ask the representative to demonstrate these steps, rather than simply agreeing that the software supports them:
- Create a pawn, renew it and redeem it.
- Correct a deliberate entry error and show the audit history.
- Print the ticket, receipt and the exact label formats your shop uses.
- Locate inventory, complete a retail sale and process a return.
- Close a cash drawer and trace a report total to individual transactions.
- Explain what stops working if internet access or a printer fails.
A busy booth may only allow a short introduction. Book a follow-up demonstration for anything the representative cannot show. Use our full demo checklist for a consistent comparison.
3. Ask the questions that belong in writing
- Migration: Which historical records, balances, documents and images transfer? Who reconciles the trial import?
- Hardware: Will your exact printer, scanner, cash drawer and workstation models work?
- Support: What are the hours, urgent escalation route and training arrangements?
- Cost: What is included for your users, stores and modules? Itemize setup, conversion, payments and recurring extras.
- Exit: What are the cancellation terms, export options and costs of accessing old records?
Record each answer as demonstrated, stated by the vendor or still unanswered. Use the cost estimator with actual written quotes; a show offer is only useful if its scope fits.
4. Bring an equipment compatibility sheet
List the model numbers of existing devices, label dimensions, connection types and approximate daily volume. Bring blank sample tags and fictional print samples. Never hand over live customer records just to obtain a demonstration.
Compare labels and printers, ID scanners and jewelry tools against your actual workflow. Ask about drivers, consumables, warranty service and return terms before ordering.
5. Keep the shop running while you are away
Assign an on-site decision maker and an escalation contact. Agree on staffing, cash-drawer closing, deliveries and any approvals that should wait for you. Give staff a short handover and a defined time to reach you. Test remote access before leaving if you rely on it.
6. Turn conversations into a decision
Before leaving a booth, note the contact, exact product or package, unresolved questions and next action. After returning, compare the same scenarios across vendors. Reconcile any trial conversion and plan training before committing to a cutover date.
