ID scanners & intake tools

ID scanning can reduce retyping, but the scanner, software and supported document formats must work together. Plan the data handling as carefully as the device choice.

Define the job

Decide whether you need barcode data entry, document imaging or a separate verification service. These are different functions. Ask for a demonstration of the exact IDs and workflow you plan to use.

Confirm the integration

A device that reads a barcode does not necessarily populate the fields in your pawn software. Confirm the scanner model, connection, middleware, operating-system requirements and who resolves a failure between products.

Limit unnecessary data

Decide which fields are needed, which staff can access them and how long records must be kept for your business. Check your applicable requirements with qualified advisers. Avoid capturing extra information merely because the device can collect it.

Compare these details

  • Supported document types and barcode formats
  • Direct software integration versus manual entry
  • Imaging and verification features included
  • Data storage, access and export controls
  • Hardware, software and recurring fees

Ask before buying

  • Which fields enter our software automatically?
  • Does this feature read data, verify a document, or both?
  • Where are images and extracted fields stored, and how can access be restricted?
